Automation & Workflow
The infrastructure underneath the marketing.

Healthcare practices lose hours every week to manual workflows that should be automated. We build the lead routing, intake handoffs, review systems, weekly briefings, and the no-code glue that turns your marketing tools into a marketing system — so growth doesn’t come at your team’s expense.

Why it matters

Marketing without automation is exhausting.

The problem

Every lead chased by hand. Every review request typed out by someone in the front office. Every performance report compiled on a marketing manager’s weekend. Every CRM entry copied from a contact form into a spreadsheet into the practice system.

This is what most healthcare marketing looks like under the hood — and it’s why growth tends to come at the team’s expense. The practice grows, the manual workload grows faster, and at some point someone burns out.

Our approach

We treat automation as infrastructure, not an add-on. The first lead routes itself. The intake form pre-fills the CRM. The post-visit review request fires on its own. The Monday performance brief writes itself overnight.

Your team focuses on patients. The marketing keeps moving. The reports show up without anyone compiling them. Growth stops costing the team their day.

What’s included

What gets automated.

The workflows that should run themselves — and now will.

01

Lead routing and qualification workflows

New inquiries go to the right person, with the right context, in the right window. No manual triage, no dropped leads.

02

Marketing-to-CRM and practice-system integration

Forms, ads, social, and email all push data into your CRM and practice systems automatically. One source of truth, kept current.

03

Post-visit review and reputation systems

Reviews requested automatically after appointments, surfaced to your team, escalated when needed.

04

Weekly automated performance briefings

The Monday status report writes itself. Numbers pulled, narrative drafted, summary delivered.

05

No-code glue between platforms

Zapier, Make, and n8n wired together to connect your stack without custom engineering.

06

Documentation of every workflow

You own what we build. Every workflow is documented, reproducible, and yours to keep.

How we run it

How automation gets shipped.

We don’t build the universe on day one. We ship workflows that pay back fast, then layer more on.

01

Discovery audit

Weeks 1–2. We map the current state and identify which workflows waste the most time. You sign off on what we’ll automate first.

02

Build sprint

Weeks 3–6. Workflows shipped one at a time, tested, documented. Each one starts paying back before the next ships.

03

Documentation sprint

Parallel to the build. Every workflow gets a written runbook so your team knows what’s running, why, and how to change it.

04

Ongoing maintenance

Monthly. Workflow health checks, optimizations, new builds as the practice evolves. Nothing stays static.

05

Quarterly automation audit

End of every quarter, we review the full portfolio. What’s working, what’s drifted, what to retire, what to add.

How it fits the engine

Where this sits in the engine.

Automation is the engine underneath the marketing — the connecting layer that lets every campaign route, track, and report itself without manual handoff. It’s what turns nine services into one system. Every Vital Press engagement includes all nine services — this is one of them.

Common questions

Things people ask before they engage.

What automation tools do you use?

No-code primarily — Zapier, Make, n8n — wired into your existing stack (CRM, practice management, marketing platforms). We build custom code only when no-code can’t do the job, which is rare.

What if I already have HubSpot, Salesforce, or another CRM?

We work with whatever you have. Automation is about connecting your existing tools so they pass data correctly — not replacing them. We’ve integrated with most major healthcare CRMs and practice management systems.

How long does automation take to set up?

Weeks 1–2 is discovery: mapping what you have, what’s manual, what’s waste. Weeks 3–6 we ship workflows one at a time, tested and documented. Most clients see meaningful time savings by week 4.

Will I lose access to my automations if we end the engagement?

No. You own everything we build. Workflows are documented, reproducible, and yours to keep or hand off to another team. We don’t hold automation hostage.

How do you handle HIPAA-related data in automation?

PHI flows stay inside HIPAA-covered systems (your CRM, practice management) and never touch tools that don’t have BAAs. Marketing automation flows handle marketing data only — not protected health information.
